The Ideal Gmail Inbox

I’m going to present to you the ideal Gmail inbox for you. Productivity is the name of the game for all of us, but people’s inboxes can be a death trap waiting for them. Checking email, going through email, doesn’t really help us webmasters. It just doesn’t matter.

Here is my inbox. I put in a few numbers to allow you to understand some important points.

1. The inbox is empty

I leave nothing in the inbox. Everything is dealt with when I make my scheduled email checks. 99% of my email is deleted. The rest is dealt with and deleted. Your inbox should be empty when you finish with your emails.

2. The few labels

Obviously deleting everything can be a pain in the butt, which will make you less productive. I keep three basic pieces of information saved. The first is my accounts. If I forget the password for something, I just look in there and get it. Simple. I also have files, which is stuff I need stored for future use. I don’t think there is anything special in there. I have my graduation photos in a zip file I think. Last, is for tax information. I put any sort of invoice I receive in there. The main two are for web hosting and domain purchases. I need these for my tax write offs.

3. A lot of space

Gmail offers a lot of space for you, so you really don’t have to delete everything. Well, I do. I’ve tried it both ways. I archived everything and you know what I got? A lot of crap saved. It’s just a waste of time. 99% of what you’ll end up archiving is not important. It makes it a nightmare to find what you’re looking for because you have to dig through 1000’s of emails.

Our goal is to simplify our life, not add another job to it. Most of my emails aren’t even important. I get submission notices, accepted notices, spam, and some other things that I really never read. Most of the time when I check my email, I have nothing to read, but the subject lines. Waste of time.

Take a look at Ezine Articles. It sends an email when I submit and an email on being accepted. Those two I have no need for. I’m sure some people would say, “but I want to know when my articles are being accepted”. It doesn’t matter. You can’t do anything about it. You’ll see when you enter your EA account when they’re accepted.

The only email we’d want to see is one for a rejected article. Set up your filters in Gmail to auto-delete the crap you get about articles being submitted and accepted. Than you’ll only receive an email when there is a problem. Do that with every email you receive that appears to be automated crap.

Reduce your email and reduce your nightmare.
